Current Openings:

Job Title: Accounting Specialist – Austin
Department: Finance        
Reports To: Austin Vice President
Hours per week: 20 hrs
Compensation:  $25-30 depending upon experience
Work location: 50% remote, 50% on-site at Austin Campus. Can be up to 100% onsite

Summary: 
Non-profit graduate school located at the  Austin, TX campus of Acupuncture & Integrative Medicine College Berkeley is seeking a part time Accounting Specialist who will be responsible for accounts receivable, deposits, and other general finance department duties This position includes the option to work remotely 50% of the time. 

Essential Duties and Responsibilities: 

  • Processes student, patient, and customer payments in QuickBooks by:
    • Recording and preparing deposits for clinics, stores, and student payments of tuition and fees
    • Recording online payments
    • Tracking status, recording, and depositing payments for AIMC Austin room rentals., continuing education and community classes
  • Reconciles monthly clinic transactions with finance accounting systems
  • Prepares all deposits as needed on a weekly basis
  • Records tuition receivables and prepares tuition reconciliations for QuickBooks in collaboration with the Controller and Registrar
  • Reviews and verifies tuition and fee amounts for financial aid students and assist with issuance of stipends.
  • Process transactions, answer questions, resolve issues, and provide excellent customer service (both internal and external)
  • Serves as backup for assisting students with transactions and payments
  • Reviews invoices and receipts to recognize and record use tax on purchases as required by tax code
  • Files and remits the monthly sales and use tax reports on or before the due date
  • Assists the Controller with monthly, quarterly, and year-end close duties
  • Assists with preparing the required audit schedules, supporting documents and workpapers for the external auditors.
  • Prepares 1099s at end of year.  Assists in preparation of 1098-Ts
  • Annual training for compliance with accreditation and other standards
  • Looks for and assesses areas for improvement
  • Other duties as assigned by your supervisor
  • Regular, predictable attendance is required.
  • Ability to get along and work effectively with others.

Minimum Qualifications:

  • Minimum of two years experience as a bookkeeper
  • Experience with A/R, A/P, commercial bookkeeping software
  • Strong interpersonal skills. 
  • Ability to take initiative, attention to details, and multi-task
  • Able to interact with people at all levels and to provide excellent customer service
  • Able to meet deadlines and to protect confidential information
  • Advanced computer skills in QuickBooks, Google Suite, and Microsoft Office – Word, Excel, Outlook, and use of financial spreadsheets

Preferred Qualifications:

  • BA in accounting
  • 3 years experience as a bookkeeper
