Clinic Manager - Part Time

We are looking for a new Clinic Manager to join our team of administrators and educators. This is a highly responsible administrative position, which requires enthusiasm, self-motivation, excellent communication skills, and the ability to provide a high level of customer service.

This position reports to the Clinic Director, and serves as the primary point of contact for students, staff, faculty and patients. Applicants must be able to learn and understand our school policies, academic and clinic procedures and develop a clear understanding of curriculum and clinical training. We are looking for someone who is organized, can juggle multiple projects at a time and is sincerely committed to supporting students in their education and supporting patients as they come in for treatments

Main duties are as follows:

Schedules:
● Administer and coordinate the clinical registration process with the Registrar
● Administer and coordinate all clinic schedules & break schedules with the Clinic Dean

Students:
● Provide Student Support in all Clinical Operations
● Preparing student folders & maintaining intern hours for education requirements
● Enforce the Rules and Regulations of the Clinic as outlined in the Clinic Handbook and AIMC Catalog
● Maintain student clinical records and authorizing completed requirements to Registrar

Front Desk & Staff
● Hiring and training the front desk staff to insure coverage for reception, and maintaining a welcoming environment for patients
● Coordinating with AIMC Marketing initiatives that affect patient reception and retention
● Maintaining the Front Desk staff work schedule & coverage
● Fielding patient concerns in order to ensure resolution of issue(s)
● Maintaining Clinic Supplies for Community & Professional Clinics
● Responsible for maintaining accurate records, and insuring file/data retention policies are maintained

Clinic Finances
● Prepare and authorize Front Desk staff payroll and Professional Practitioner reimbursements
● Manage all Clinic Account Receivables including daily reconciliation of cash receipts and collection of past due receivables from patients or students.
● Support Herbal Pharmacy Manager as needed

Minimum Qualifications:
● Three or more years of strong clerical and administrative support experience, preferably in a clinical setting.
● Highly motivated, strong leadership skills, and willingness to learn.
● Strong interest and enthusiasm in assisting others.
● Must have great attention to detail with strong organizational skills.
● Excellent verbal and written communication skills and functions well within a team.
● Able to manage multiple time-sensitive projects.
● Handles confidential information with tact, discretion and in compliance with HIPPA and FERPA regulations. Maintaining strict confidentiality of the office is imperative.
● Must have a professional demeanor and ability to interact with others in person and on the phone.
● Must be familiar with administrative computing systems including G Suite, Word and Excel.

Preferred Qualifications:
● Familiarity with acupuncture and/or
● One year strong management experience

 

This is a part time position (24 hours/week).  Pay rate is $25/hour

Registrar

POSITION TITLE: Registrar
REPORTS TO: Director of Academic Records & Advising
JOB SUMMARY: The registrar plans, organizes, and manages all of the activities related to registration, grades, and serves as the official authorized keeper of the university’s student records.
SUPERVISION RECEIVED:  Director of Academic Records & Advising

The Acupuncture and Integrative Medicine College is a small, non-profit college in Berkeley, CA. We are a tight-knit community and are currently seeking a part or full-time Registrar (24-30 hrs). The position requires someone who has strong computer skills and experience using Student Information Systems or database management software (such as MS Access). Essential qualities of the candidate would be strong attention to detail, accuracy, organization, and can adhere to confidentiality. Previous experience working at a post-secondary institution, specifically in Registration will be prioritized. The ability to work both independently and collaboratively with others and meet deadlines is important. The Registrar serves our students, faculty and staff and would be supervised by the Director of Academic Records and Advising.

ESSENTIAL JOB FUNCTIONS:

  1. Maintain all academic records and databases
  2. Develop and implement policies related to registration and attendance
  3. Create trimester registration sheets, attendance sheets and binders, and final grade sheets; create yearly academic schedules
  4. Maintaining the course attendance and session reports; maintain the binders for class schedules and course syllabi
  5. Issuing student transcripts and documents related to the California Acupuncture Licensing Examinations (CALE), NCCAOM Examinations, and other organizations
  6. Collaborate with Director of Academic Records & Advising performing degree audits
  7. Coordinating and provide statistics for annual reports
  8. Maintaining student medical records
  9. Creating student mailboxes, maintaining student forms
  10. Process petitions for remedial and make-up exams, receive instructors’ exams, and proctor exams for students;
  11. Completing annual crime statistics report and disseminating it to students.
  12. Research, analyze and resolve student disputes as they relate to records and registration
  13. Collaborate with administrators, deans, faculty, and staff to facilitate and improve services to students, including catalog and registration/records policy questions
  14. Provide Financial Aid Director with information for IPEDS, NSLDS, quarterly earned unit report, and others as required
  15. Other duties assigned by Director of Academic Records & Advising

QUALIFICATIONS, SKILLS, AND ABILITIES:

  • Minimum Education (or substitute experience) required: Bachelor’s degree in degree in student services, educational administration or a related area.
  • Minimum Experience required: 3 years of direct experience or 5 years in a related area preferred of direct experience in a community or non-profit college.
  • Skills Required:
    • Ability to work independently in a stressful environment, meeting critical deadlines
    • Demonstrated understanding of the application of technology to deliver Records and Registration services via SIS (Student Information Systems) and LMS (Learning Management Systems)
    • Knowledge of policies pertaining to higher education
    • A proven record in working successfully with diverse populations
    • A positive attitude and ability to plan and adapt to change
    • Ability to collaborate effectively with college departments and cross-functional teams
    • Strong interpersonal, oral and written communication skills

Integrative Medicine II Instructor - Part Time

AIMC Berkeley is seeking an instructor trained in Western Medicine to teach our Integrative Medicine II course, which is part of our masters program in acupuncture and Oriental medicine.  The position is an excellent opportunity for a Western medical professional to join a multi-disciplinary team and become an integral part of the movement towards integrative medicine, which incorporates both Western and Eastern philosophy, diagnosis, and treatment.

Location: AIMC Berkeley Campus
Course title: Integrative Medicine II
Course hours: Monday;    January 10 – April 17, 2020
Compensation: $50-$70/ hour, DOE

Course description:
This course focuses on the clinical presentation, diagnosis, differential diagnosis, treatment and prevention of the following conditions: Common cold, cough, asthma, epigastric pain, vomiting, abdominal pain, jaundice, hypochondriac pain, low back pain, palpitations, insomnia, diarrhea, constipation, headache, edema, painful urination, dizziness, syncope, ALOC, paralysis, and chest pain.
