Clinic Director

The Clinical Director is directly responsible for directing the clinical services rendered by personnel of
the College's on-site and off-site clinics (the Clinic). The Clinical Director provides strategic leadership,
oversight, and management for the clinic in the areas related to the clinical department. The Clinical
Director provides administrative support for the clinical activities in anticipation and response to the
ongoing and evolving needs of students, staff, faculty and patients. The Clinical Director maintains a
strong supportive relationship with administrators, faculty, staff, and students to ensure compliance
with the state and federal education, and safety regulations related to the school's clinical facilities and
clinical operations. The Clinical Director is directly responsible for the administration and oversight of all
students’ clinical practice and the clinical faculty.

Essential Job Functions:

  • Ensures safe, professional care to patients, and ensuring that processes exist for
    making critical decisions regarding the care or referral of a patient to emergency
    centers or other health care professionals.
  • Responsible for overseeing clinic internships and evaluating intern performance,
    including: writing, reviewing and revising Clinic Handbook (each term), formulating
    clinic treatment procedures, formulating clinic intern competencies, administering
    pre-clinical competency testing (each term): Orienting new Observation students and
    new interns in clinic procedures and rules (each term), Overseeing competency testing
    by clinic instructors (ongoing), Running periodic meetings with each level of interns to
    review clinic issues and garner intern feedback (weekly), Reviewing clinic charts to
    assess completeness and consistency, Reviewing and revising clinic forms as necessary
    (ongoing), Scheduling, with input of associate dean, observation and intern shifts for
    each trimester, Addressing shift/attendance problems as they arise (ongoing),
    Addressing all clinic related problems as they arise (ongoing), Chairing weekly Clinic
    Committee meetings to address clinic procedural, policy and financial issues.

  • Responsible for supervision of clinic instructors, including: Hiring clinic instructors,
    Training instructors in clinic procedures, Assigning clinic instructor shifts, Holding clinic
    instructor group meetings each trimester to address clinic issues (each term),
    Evaluating clinic instructor performance (each term).
  • Responsible for developing and administering externship clinic sites, including:
    Contacting managers of potential sites, Inspecting sites to assure conformance to state
    board and ACAOM requirements (once each term at all sites), Coordinating scheduling
    requirements of externship site and AIMC Addressing all externship site issues as they
    arise.
  • Responsible for coordinating with Herb Dispensary Manager for dispensary operations,
    including: Writing, reviewing and revising Herb Dispensary Handbook, Formulating and
    monitoring dispensary procedures, Teaching interns dispensary rules and procedures

  • Holding primary responsibility for the administration and oversight of the College’s
    community clinic program including student treatment supervision and reviewing
    intern charts.
  • Working closely with the Doctoral Program Director in the development of clinical
    curriculum and assessment of student progress
  • Chairing clinic supervisor meetings.
  • With the cooperation of the Clinic Manager, supervised Clinic personnel and determine
    work-related policies.
  • Assisting and advising the president on clinic public relations and marketing with
    particular focus on health-care for underserved people in the community.
  • Collaborating with the Admissions Director, overseeing the Clinic's marketing and
    public relations.
  • Connecting with the local community contacts regarding Clinic Services
  • Developing Networking/Referral relationships with Integrative Medical providers
  • Tracking & following up on clinic incidents and report to Clinic Committee/Safety
    Meetings
  • Implementing necessary changes to ensure students/staff/clients needs are being met
    and to improve clinical operations.
  • Chairs Safety Committee, which oversees safety issues college-wide: meetings held
    each term

Qualifications: Doctoral Degree preferred. Five or more years experiences in educational administration
in AOM field. Clinic supervisory experiences and good communication skills required. Must be computer
literate.

Herb Pharmacy Manager

POSITION TITLE: Herb Pharmacy Manager
JOB SUMMARY: The Pharmacy Manager is directly responsible for the supervision and direction of multiple functions of the pharmacy, including but not limited to: inventory control, purchasing, student and employee supervision, accounting, pricing of items sold; maintenance and cleanliness of pharmacy; working as part of the clinic team with the Clinic Director and Clinic Student Liaison.

AIMC Berkeley is currently looking for a part-time Herb Pharmacy Manager.  The primary role of the Pharmacy Manager is to maintain the daily operations of the AIMC Herbal Pharmacy. The duties include maintaining the inventory of the Herbal Pharmacy for the preparation of all herbal formulas. This includes purchasing all herbs, tablets and pills, herbal preparations and acupuncture supplies such as needles and moxibustion products from outside distributors. Additional duties include training all clinical interns in the preparation of herbal formulas during their clinical shift. This includes training and supervising all Work Study students that are employed in the Herbal Pharmacy.

In addition to the above duties, job duties include supporting the Clinic Student liaison in the daily operations of the AIMC Community Clinic with specific support in Clinic Schedules, registration, make-up shifts and daily procedures for clinical interns. Additionally, duties may include providing support to the Clinic Director on an as-needed basis.

ESSENTIAL JOB FUNCTIONS:

Operations Responsibilities include:

  • Supervise and coordinate production of herbal prescriptions for clinic patients.
  • Develop and implement policies and procedures to ensure compliance with FDA and OSHA
  • Assist clinic Student Liaison in creation of student intern
  • Create controlled inventory process and
  • Buyer for herbs (granules, raw and patents) and medical
  • Manage and oversee herb dispensary budget, including inventory and staffing.
  • Maintain Quickbooks accounting
  • Report to school accounting
  • Prepare monthly/ trimester /yearly financial and inventory
  • Participate in Clinic and Staff meetings

REQUIRED KNOWLEDGE,SKILLS AND EXPERIENCES:

  1. Education (or substitute experience) required: Masters degree, or higher, in Chinese Medicine and Acupuncture with training in Herbal Preparation and Formulation.
  2. Supervisory experience of multiple employees, especially working with multiple shift work and working in a fast paced environment.
  3. Skills required:
    1. Knowledge and understanding of Chinese medicine Experience in the production of herbal prescriptions.
    2. Management skills of all operations of the pharmacy.
    3. Excellent oral and written communication skills.
    4. Able to deliver effective presentation to large and small groups.
    5. Customer relationship building and retention skills.
    6. Vendor and buying skills.
    7. Computer skills: Quickbooks, Excel and Word.

Front Desk Support

POSITION TITLE: Front Desk Support
REPORTS TO: Clinic Director
JOB SUMMARY: The Front Desk Support Staff are integral to the smooth flow of qi in our busy Student & Professional Clinics. They assist with reception, patient support & communications, billing support, & various administrative tasks. It is a wonderful opportunity to provide support for our patients and our many practitioners. This position is coordinated day-to-day by the Clinic Concierge, who reports to the Clinic Director. The Clinic Director oversees the Front Desk operations. Pay starts at $16.01/hr.

Shifts are Monday through Friday, 8 am – 12 and 12:30pm-5:30pm.

Responsibilities:
General

  • Answer front desk phone, responding to voicemails and forwarding inquiries to the respective departments/staff
  • Monitor the front door
  • Implement sign-in procedures for all entering and exiting the building
  • Assign and track work rooms for on-campus students and faculty
  • Monitor and restock reception area supplies:Hand-sanitizer, Disinfecting wipes, Disposable face masks
  • Periodically wipe down the front door handles and any other high-touch surfaces in the reception area
  • Assist in Library check-out & return book procedures
  • Other light administrative projects as assigned

Patient Support

  • Schedule/Cancel appointments
  • Email patients their zoom meeting links before their appointment
  • Provide JANE and zoom support to patients, supervisors and interns
  • Scan and upload existing patient files to Jane
  • Maintain physical patient files

Billing Support

  • Generate & send invoices to patients
  • Process & record payments
  • Provide patients with payment records for insurance purposes
